Terms of Service

By booking with Keystone Event Rentals LLC, the "Renter" agrees to the following terms and conditions. These policies ensure we can provide high-quality, reliable service to all our clients across the DMV.
1. Booking and Deposits
Reservation Deposit: A 20% non-refundable deposit is required to secure your event date and inventory. No items are officially reserved until this deposit is received.
Non-Refundable Window: If a cancellation occurs within three (3) weeks of the reserved event date, the 20% deposit is strictly non-refundable.
2. Final Payment
Due Date: Full payment of the remaining balance is due no later than two (2) weeks (14 days) prior to the event date.
Forfeiture: If the final balance is not paid by the 2-week deadline, Keystone Event Rentals LLC reserves the right to cancel the booking, and the initial deposit will be forfeited.
3. Equipment Condition and Care
Standard of Return: All rented items (tents, tables, chairs, linens, etc.) must be returned in the same condition in which they were received.
Cleaning & Damage: Any items returned excessively soiled, broken, or missing will result in additional replacement or cleaning fees.
4. Proper Use and Safety
Intended Use: All equipment must be used only for its intended purpose.
Weight Limits: Renter agrees to adhere to all manufacturer weight limits and safety guidelines. Chairs are for seating only; tables are for holding standard event items. Standing or dancing on equipment is strictly prohibited.
Liability: Keystone Event Rentals LLC is not responsible for any injuries or accidents resulting from the misuse of rented equipment.
5. Delivery and Setup
Renter must ensure the delivery site is accessible and cleared for setup at the agreed-upon time. Failure to provide access may result in additional labor fees or delivery delays.
6. Missing & Damaged Items Policy
Replacement Costs & Damage: The Renter assumes full responsibility for all rented items from the time of delivery until the time of pickup. All items must be returned in the same condition as received. In the event that any rented equipment is lost, stolen, or damaged (including, but not limited to, permanent stains, burns, broken frames, or missing parts), the Renter will be held liable for the full current replacement value of the item.
Authorization for Additional Charges: By agreeing to these Terms of Service and providing payment information, the Renter explicitly authorizes Keystone Event Rentals LLC to charge the credit card on file for any additional costs incurred. This includes:

Full replacement costs for missing or unreturned items.

Repair costs or full replacement costs for damaged items.

Cleaning fees for items returned with excessive debris or non-standard staining.
The Renter acknowledges that these charges may be processed immediately upon the discovery of the loss or damage or these charges may be processed during the immediate post-rental inspection up to 48 hours after pickup, and a detailed invoice will be provided via email.
7. Indemnification & Hold Harmless
The Renter agrees to indemnify, defend, and hold harmless Keystone Event Rentals LLC and its employees from any and all claims, liabilities, damages, or expenses (including attorney fees) arising out of the use, condition, or operation of the rented equipment.
The Renter acknowledges that there are inherent risks in the use of event rental equipment (including tents, tables, and chairs) and voluntarily assumes all risk of personal injury or property damage. Keystone Event Rentals LLC shall not be liable for any injuries or damages sustained by the Renter, their guests, or any third party during the rental period.
